Guide for the Director and Principal

Set the college up once, then see teaching, attendance, outcomes, accreditation evidence and placements for the whole college — without asking anyone for a report.

Signing in

  1. You join by invite. Open the email from AiCanCode.org, set your password, and sign in with that same address.
  2. Press "College dashboard" (green, top of every page). That is your home; the dashboard opens there whenever you sign in.

Your first week: the checklist

The top of your dashboard shows "Getting started · N of 7 done". Each step ticks itself when it is done — nobody marks anything by hand.

  1. Add your university and autonomous status: press the pencil next to "Add your university and autonomous status" under the college name, choose the university (or "Another university…"), tick "Autonomous" if it applies, and press "Save".
  2. Upload your students — see "Adding students" below.
  3. Add your HODs and teachers — see "Adding staff".
  4. Set up this semester's courses — see "Setting up a semester".
  5. Assign a teacher to every course, post your first notice, and assign mentors.

Adding staff

  1. Open Staff.
  2. Enter "Email", "Full name" and "Role": Principal, Training & Placement Officer, Head of Department or Teacher.
  3. For a HOD choose their "Department"; for a teacher tick the "Branches" they may see. Press "Send invite" — they get an email to set a password.
  4. To remove someone, press "Remove access". Their past work stays.
  • Only a principal can add or remove another principal, and the last principal can't be removed.
  • A HOD sees one department. A teacher sees the branches you give them and the courses they teach.

Adding students

  1. Open Upload students.
  2. Paste from Excel or a CSV, one student per line: email, roll number, division, branch, graduating year (a header row in any order also works). Branch can be written the way your college writes it — "Computer Engineering", "CSE" and "Comp" all work.
  3. Press "Upload N students". Students who already have an account are added at once; the rest get an email invite. Anything that couldn't be added is listed under "Not added" with the reason.
  • Students without a college email can also join with a college code, or ask to be confirmed — those requests appear in Student claims.

Setting up a semester

  1. Open Courses and press "Set up a semester".
  2. Choose the branch, the batch (the year they graduate), the semester and the academic year.
  3. Copy the subject table from your university's syllabus PDF (or your own, if you are autonomous) or an Excel sheet and paste it into "Subjects — one per line". A line can be just a title, or code, title, credits, type.
  4. Check the preview — leave out any row with the ×. Press "Add N courses".
  5. Next year, use "Copy from a previous batch" instead: subjects, codes, credits, COs and the CO–PO map come across; notes, marks and attendance stay with the old batch.

Assigning teachers to courses

  1. Open the course from Courses and press "Teachers".
  2. Tick the teachers for this course and press "Save teachers". They now see it under "My courses" and can upload notes, take attendance and enter marks.

Your dashboard: teaching at a glance

"Teaching at a glance" is the first thing on your dashboard.

  1. "Courses" — how many, and how many have no notes yet.
  2. "Below 75% attendance" — students under the line after four or more lectures, listed by name and course underneath.
  3. "Waiting to be marked" — assignments students have handed in that no teacher has marked.
  4. "No lecture in 7 days" — courses with no attendance taken this week.
  5. Every tile opens the page behind it. Placement readiness and placements follow below.

Attendance

  1. Open Low attendance — every student below the line in any course you can see, lowest first. Change "Below" to look at another threshold.
  2. Students are told automatically when they drop below 75%, with how many lectures in a row will get them back.

Internal marks

  1. Teachers keep the marks sheet in each course's "Internal marks" tab. A column is published to students when ready and locked once final.
  2. Only a HOD or the principal can unlock a locked column — open the course, "Internal marks", and use "Unlock" on that column.
  3. "Export for exam cell" gives the sheet the exam cell takes.

Outcomes (CO–PO) and attainment

  1. Programme outcomes start from the 12 standard NBA POs. Open Outcomes (CO–PO) to reword them or add PSOs for a branch ("Add PO", "Add PSO").
  2. Teachers write each course's COs and the CO–PO table; attainment is worked out from the marks already entered.
  3. "Programme attainment" shows every course's PO attainment and the programme average; "Export" downloads it.

Accreditation (NBA/NAAC)

  1. Open Accreditation (NBA/NAAC). Each course shows the nine pieces of evidence a visit asks for — Done or Missing — and a score such as 6/9.
  2. Tick "Only courses with gaps" to see what is left. Closing a gap in the course (writing COs, locking marks, uploading notes) removes it here; nothing is typed in twice.
  3. Press "Course file" on any course for its PDF: COs, the CO–PO table, test statistics, CO and PO attainment, every lecture held, attendance and material.
  4. Press "NBA/NAAC workbook (Excel)" for the department or college: a sheet each for NBA criteria 2, 3 and 4.6, NAAC 2.2.1, 2.3.3 and 5.2.1, and NIRF/AISHE numbers. Cells only the college can know (higher studies, entrepreneurs, sanctioned posts) are marked "fill in".

Mentoring

  1. Open Mentoring and go to "Mentor groups".
  2. Tick the students, choose the mentor, and press "Assign mentor". Choose "No mentor (release)" and "Release" to take students off a mentor.
  3. "Slow learners" (below 40% in internal marks) and "Advanced learners" (80% and above) are listed for you, with their mentors. "NAAC report" downloads the mentor-mentee ratio and both lists for criteria 2.2.1 and 2.3.3.

Notices

  1. Open Notices.
  2. Write the title and "The notice", choose the branch and batch it is for (or all), tick "Pin" to keep it on top, and press "Post".
  3. Students see it on their My college page and get a notification. A notice for one course is posted from that course's page instead, under "Notices to this class".

Placements

The placement cell (TPO) runs drives; you see the outcomes. The TPO guide covers drives, eligibility, offers and student records step by step.

  1. "Placements · batch" on your dashboard shows students placed, offers, highest package and drives open, by branch.
  2. "Placement readiness" shows how ready each student is from checked work only — anything not yet assessed says "not assessed", never 0.
  3. "Activity report (PDF)" prints the activity of the college or a period for a review meeting.
