Head of Department

Guide for the HOD

Everything for your department in one place: its courses and teachers, attendance, internal marks, outcomes, accreditation evidence, mentoring and notices.

Signing in

  1. Open your invite email, set a password, and sign in with that address. Press "College dashboard".
  2. The pill under the college name — "Department view · CSE" — is your reminder that every number on the page is your department's, not the whole college's.

Your first week: the checklist

"Getting started" at the top of your dashboard ticks itself as you go.

  1. Upload your department's students — Upload students. Rows for another department are reported, not added.
  2. Add your teachers — Staff → "Email", "Full name", Role "Teacher" → "Send invite". (A HOD can invite and remove teachers in their own department.)
  3. Set up this semester's courses, assign a teacher to each, post a notice and assign mentors — steps below.

Setting up a semester

  1. Open Courses and press "Set up a semester".
  2. Choose the branch, the batch (the year they graduate), the semester and the academic year.
  3. Copy the subject table from your university's syllabus PDF (or your own, if you are autonomous) or an Excel sheet and paste it into "Subjects — one per line". A line can be just a title, or code, title, credits, type.
  4. Check the preview — leave out any row with the ×. Press "Add N courses".
  5. Next year, use "Copy from a previous batch" instead: subjects, codes, credits, COs and the CO–PO map come across; notes, marks and attendance stay with the old batch.

Assigning teachers to courses

  1. Open the course from Courses and press "Teachers".
  2. Tick the teachers for this course and press "Save teachers". They now see it under "My courses" and can upload notes, take attendance and enter marks.

Your dashboard

  1. "Teaching at a glance": courses (and how many have no notes), students below 75% attendance, work waiting to be marked, courses with no lecture this week.
  2. The "Below 75% attendance" list names each student and course — press the course to open its attendance.

Attendance

  1. Open Low attendance — every student below the line in any course you can see, lowest first. Change "Below" to look at another threshold.
  2. Students are told automatically when they drop below 75%, with how many lectures in a row will get them back.

Internal marks

  1. Teachers publish each column to students and lock it when final. If a correction is needed after locking, open the course → "Internal marks" → "Unlock" on that column (HOD and principal only).
  2. "Export for exam cell" downloads the sheet.

Outcomes and attainment

  1. In Outcomes (CO–PO) add your department's PSOs with "Add PSO".
  2. Check each course's COs and CO–PO table under its "Outcomes" tab; "Programme attainment" shows the department's PO attainment, with "Export".

Accreditation (NBA/NAAC)

  1. Open Accreditation (NBA/NAAC). Each course shows the nine pieces of evidence a visit asks for — Done or Missing — and a score such as 6/9.
  2. Tick "Only courses with gaps" to see what is left. Closing a gap in the course (writing COs, locking marks, uploading notes) removes it here; nothing is typed in twice.
  3. Press "Course file" on any course for its PDF: COs, the CO–PO table, test statistics, CO and PO attainment, every lecture held, attendance and material.
  4. Press "NBA/NAAC workbook (Excel)" for the department or college: a sheet each for NBA criteria 2, 3 and 4.6, NAAC 2.2.1, 2.3.3 and 5.2.1, and NIRF/AISHE numbers. Cells only the college can know (higher studies, entrepreneurs, sanctioned posts) are marked "fill in".

Mentoring

  1. Open Mentoring and go to "Mentor groups".
  2. Tick the students, choose the mentor, and press "Assign mentor". Choose "No mentor (release)" and "Release" to take students off a mentor.
  3. "Slow learners" (below 40% in internal marks) and "Advanced learners" (80% and above) are listed for you, with their mentors. "NAAC report" downloads the mentor-mentee ratio and both lists for criteria 2.2.1 and 2.3.3.

Notices

  1. Open Notices.
  2. Write the title and "The notice", choose the branch and batch it is for (or all), tick "Pin" to keep it on top, and press "Post".
  3. Students see it on their My college page and get a notification. A notice for one course is posted from that course's page instead, under "Notices to this class".
